How to Add a New User to WorkPulse

Inviting new team members to your WorkPulse workspace is quick and easy. Follow these steps to send an invitation and get your team member started.

Tip

Make sure you have Admin or Team Leader permissions to invite users.

Navigate to the Users Page

Go to https://www.workpulse.solutions/users

Alternatively, click on Users or Team in the main navigation menu.

Click the "Invite User" Button

Look for the Invite User button, typically located in the top right corner of the page.

Fill in the Invitation Form

Complete the following required fields:

Field Description
Email Address * Enter the email address of the person you want to invite
Role *
  • Admin - Full system access, can manage billing and settings
  • Team Leader - Can manage team members and view all reports
  • Team Member - Can track time and view own reports
Team Name * Assign the user to a specific team (e.g., Development, Marketing, Sales)

Send the Invitation

After filling in all required fields, click the Send Invitation button.

Success!

The invitation has been sent. The user will receive an email shortly.

What Happens Next?

1. User Receives Email Invitation

The invited user will receive an email containing:

  • Your organization/company name
  • Their assigned role and team
  • A secure invitation link
  • Instructions to accept and get started

2. User Accepts the Invitation

When they click the link, they will:

  1. 1. Create their password (for new users)
  2. 2. Complete their profile information
  3. 3. Access their WorkPulse dashboard
  4. 4. Download the desktop app (optional)

Important

Invitation links expire after 7 days. If the link expires, you'll need to resend the invitation.

Managing Pending Invitations

On the Users page, you can view all pending invitations in a separate section. For each pending invite, you can:

  • Resend - Send the invitation email again
  • Cancel - Revoke the invitation

Troubleshooting

User didn't receive the email?

  • Ask them to check their spam/junk folder
  • Verify the email address is correct
  • Use the "Resend Invitation" button

Invitation link expired?

  • Go back to the Users page
  • Find the pending invitation
  • Click "Resend" to generate a new link

Best Practices

  • Double-check email addresses before sending invitations
  • Assign appropriate roles based on job responsibilities
  • Organize users into teams for better management
  • Follow up with users if they haven't accepted within 24 hours
  • Review and update user permissions regularly
